Position Summary: *
IAVI is seeking a highly motivated Administrative Assistant who will provide general office support for a variety of administrative tasks that include answering incoming calls, making travel and meeting arrangements, supporting office and finance management activities, maintaining filing systems, managing supplies and making sure the office runs smoothly.

Key Responsibilities:
- Greeting and directing office visitors
- Answering and directing incoming phone calls
- Being a point of contact for service providers and staff
- Make travel arrangements for staff members
- Assist with capturing invoices in finance systems
- Directing outgoing and incoming packages and deliveries
- Scheduling meetings and appointments
- Taking notes and minutes in office meetings
- Support in the procurement and maintenance of office items e.g. supplies, stationery, equipment
- Develop and maintain a filing system for the office
- Support clinical development team with administrative tasks
- Perform other duties as assigned by the Hiring Manager

Education and Experience:
- Matric and Office Admin Diploma is required
- Minimum 2 years’ experience working in an office or business setting is required

- Self-starter who meets deadlines and can take initiative in the absence of their supervisor is required
- Professional and hospitable demeanor is required.
